Hand Over a Client's WhatsApp Conversation to a Colleague

A colleague is leaving, you're taking over an account, or you're onboarding a client someone else spoke to. How to hand over a WhatsApp history so the next person knows the context in minutes.

Someone on the team has been talking to a client on WhatsApp for eight months. Now they’re on leave, moving to another account, or leaving the company. You inherit the client, and with it 3,000 messages you don’t have time to read before your first call.

What the next person actually needs #

Not the whole conversation. A handover answers:

  • Who is the client and who else is involved (their partner, accountant, site manager).
  • What they asked for and what they were told.
  • What was agreed: prices, scope, dates.
  • What’s pending, on either side.
  • Where it’s sensitive: complaints, disagreements, promises made by the person who left.
  • How they communicate: voice notes or text, mornings or evenings, fast or slow replies.

How to hand it over #

  1. Export the chat from the phone it lives on, with media (voice notes matter here) (Android, iPhone).

Why citations matter in a handover #

The person who left can’t be asked any more. If the briefing says the client was promised a discount, the new owner needs to see that message, in its context, before honoring or questioning it.
