Keep a Decision Log from Your WhatsApp Chats
Decisions made in WhatsApp get lost or remembered differently. How to find every decision in a chat, record it in a simple decision log template, and link each entry to the message that made it.

Three months into a project, someone asks “when did we decide to drop the second floor?” The answer is in WhatsApp, in a voice note from a Tuesday, after a 40-message debate. A decision log is how you find it in ten seconds instead of forty minutes.
A simple decision log template #
| # | Date | Decision | Decided by | Options considered | Message |
|---|---|---|---|---|---|
| 1 | 14 Mar | Granite worktop, black | Anna, accepted by Ben | Black granite vs. quartz | p. 7 |
| 2 | 2 Apr | Handover moved to 9 May | Ben proposed, Anna accepted | Discount vs. free shelf | p. 16 |
Keep it short. One line per decision, the date of the message, and a pointer to where it was said.
Finding the decisions in a chat #
Decisions rarely say “we decide”. Look for:
- acceptance: “ok, let’s do that”, “go ahead”, “approved”, “deal”;
- a choice between options: “option 2”, “the cheaper one”;
- a change: “instead”, “let’s move it to”, “cancel”;
- numbers that stop moving: the last price before people stop negotiating.
And check voice notes: a lot of “yes, go with B” is said out loud.
Building it from a briefing #
Zap2Doc Insights gives you most of the log ready-made:
- agreements: who agreed to what, with any amount or deadline as written, and whether a later message shows it done;
- proposals: offers and alternatives, attributed to whoever proposed them;
- disagreements: when people objected, each side’s position;
- a timeline with the date of each significant event.
Every item links to its message in the PDF, so the “Message” column of your log is already filled. Voice notes are transcribed and included.
Habits that keep the log honest #
- Write the decision, not the discussion. “Black granite” is the decision; the 40 messages are context.
- Record who decided. In a group, “the group decided” is how disputes start. Name the people.
- Post the entry back to the chat. “Logging this: handover 9 May, shelf included. Shout if wrong.” Silence then means something.
- Keep the export. Re-export the chat at milestones and keep the files; they’re the source behind your log.
