WhatsApp Voice Note Transcripts with Date, Time and Sender
A transcript without a timestamp can't tell you when something was said. How to get every WhatsApp voice note transcribed with its exact date, time and sender, in the order of the conversation.
When a voice note matters, when it was said matters as much as what was said: the promise before the payment, the warning before the accident, the price before it changed. A pile of transcripts with no dates can’t show that.
Where timestamps come from #
A voice note file on its own carries no reliable send time. The information lives in the chat export: its text file has one line per message, and each voice note line records the date, the time and the sender:
[01/03/2026, 14:23:02] Ana: <attached: 00000046-AUDIO-2026-03-01-14-23-02.opus>
That’s why transcribing voice notes one by one, outside the chat, loses the timeline. Transcribing them from the export keeps it.
What a timestamped transcript looks like #
In the PDF Zap2Doc produces, each voice note appears where it was sent:
- the sender’s name and the date and time of the message;
- the audio’s file name;
- the transcript underneath;
- the typed messages before and after it, so the context is right there.
Days are separated with a date heading, and the pages are numbered, so you can refer to “page 14, 14:23” when you discuss it.
Building a timeline from voice notes #
- Export the chat with media (Android, iPhone).
- Choose the period that matters on the configure screen if you don’t need the whole chat.
- Download the PDF and mark the moments you need with their page and time.
If dates in your export look odd (is 03/04 March or April?), see WhatsApp export date and time formats. Zap2Doc works out the order from the export itself before laying out the timeline.
