WhatsApp Voice Notes as Evidence: How to Organise Them
When what matters was said in a voice note: how to keep the original audio, transcribe every note with its date and sender, and hand a lawyer or authority something they can read.
In many disputes the key words were spoken, not typed: the promise, the threat, the price, the admission. A screenshot can’t show a voice note, and nobody wants to listen to an hour of audio to find one sentence.
Step 1: keep the original #
- Export the chat with media from the phone that holds it (Android, iPhone). Every voice note comes out as an audio file, and the chat text records who sent each one and when.
- Don’t edit, rename or re-record anything in the
.zip. - Store a copy somewhere other than the phone: a cloud drive, a USB stick, your lawyer’s inbox.
- Don’t delete the chat from the phone afterwards. The device may be asked for later.
Step 2: transcribe every note in context #
Transcribing voice notes one by one loses when they were said. Transcribing from the export keeps each one under its date, time and sender, between the typed messages around it.
Zap2Doc does this for the whole chat: a chronological PDF with every voice note transcribed under its message, photos in place, numbered pages and the audio’s file name printed with each transcript so the original can be found in the export.
Step 3: mark what matters #
- Write down the page, date and time of each relevant voice note.
- Re-listen to the ones you rely on, especially numbers and names; the transcript helps you find the note, the audio is what was said.
- If only part of the chat is relevant, choose that period before generating the PDF, and keep the full export anyway.
Step 4: hand it over #
Give the person reviewing it:
- the PDF, to read and refer to by page;
- the original
.zip, with the audio files; - your list of key moments with page and time.
How a court or authority wants that material submitted varies by country and by case: ask a lawyer where you are. For the rest of the conversation, see how to present a WhatsApp chat as evidence.
