Business Partner Dispute: Organising Years of WhatsApp Messages

When a partnership breaks down and the decisions were made on WhatsApp: how to export the chats and groups, build a timeline of who decided what, and hand an accountant or lawyer something readable.

Partnership conversations organised as documents

Small businesses are often run on WhatsApp: the partners’ private chat, a group with the team, another with the accountant. When the partnership breaks down, those chats hold years of decisions about money, roles and promises, scattered across thousands of messages.

Step 1: export every relevant chat, now #

  • your private chat with the partner;
  • business groups (team, management, family business);
  • chats with the accountant, suppliers or key clients where decisions were confirmed.

Export each with media (Android, iPhone). For long chats, also export without media to reach further back; see WhatsApp export limit. Keep every .zip unchanged and don’t delete anything.

Step 2: make them readable #

A dispute over a business is usually reviewed by several people: you, an accountant, a mediator, lawyers. Each needs to read the same pages. Zap2Doc turns each export into a chronological PDF with numbered pages, photos and documents in place, and voice notes transcribed, so everyone can cite “group chat, p. 212”.

For several chats, Zap2Doc for Business converts them in one batch.

Step 3: build a timeline of decisions #

Pick the topics that matter (capital contributions, withdrawals, salaries, roles, a sale, a debt) and for each one note:

  • date, who said it, what was decided;
  • which chat and page.

Keep it factual. The timeline is a map to the conversation, not an argument.

Step 4: keep the originals together #

Store the .zip files, the PDFs and your timeline in one folder, and a copy somewhere other than your phone. The person advising you will tell you what they need and in what form; that depends on your country and the kind of company.

If a supplier or client is involved too, see supplier disputes on WhatsApp.
